Inventory receipts
Inventory Receipts in Breww allow you to record deliveries of stock items from your suppliers, with the ability to record their batch information, delivery location, expiry dates, and costings.
There are two options, depending on whether you are receipting stock from a purchase order you created for a supplier in Breww or whether you wish to generate the inventory receipt from scratch with no associated Breww purchase order.

If you have created a purchase order in Breww, you can create an inventory receipt directly from the purchase order. This function can also be repeated should you need to receive the stock on the purchase order across multiple inventory receipts due to split deliveries. You may over or under-receipt a purchase order, with this indicated upon the respective PO.
Note: it is only possible to raise an inventory receipt from a purchase order if the purchase order is finalised. It is not possible to raise an inventory receipt for a draft purchase order.
To create an inventory receipt directly from a purchase order, navigate to Stock items -> Goods in -> Purchase orders.

From the purchase orders page, simply find the purchase order you want to raise an inventory receipt for and use the view button to open the purchase order.
Once the purchase order is open, creating an inventory receipt is easily done by simply selecting Generate inventory receipt.

Having selected generate inventory receipt you will need to choose which items you are raising the inventory receipt for from the following options:
- Items outstanding only (shortfall quantities)
- Entire purchase order contents
- Nothing, leave as a blank inventory receipt
If you need to raise an inventory receipt for part of the order you may find it easier to select “Entire purchase order contents” and delete out the items post creation that you are not yet receipting.
You will also have an opportunity to enter a supplier reference, and will need to set the delivery date for your inventory receipt.
If you simply wish to raise an inventory receipt without an associated purchase order to bring stock into Breww, this can be done in Stock items -> Goods in -> Inventory receipts -> New inventory receipt.
At this point, you will need to enter the inventory receipt details. The first field; “Supplier” is mandatory, along with “Delivery date” and “Site delivered”. It is also possible to enter a Supplier ref, a payment due date, and should you still want to link your inventory receipt to a created purchase order, you will have an option to select a “Related purchase order” (This is not mandatory, and whilst there are benefits to raising purchase orders in Breww, they are not needed to create inventory receipts).
Once your inventory receipt is created, either from a purchase order or independently, it will be either populated with the contents of the purchase order or blank, ready for you to add items. Whichever method you select, you will need to know how to manage the items on the inventory receipt.
Items can be added to inventory receipts by selecting Add item. The process here is similar to if you were adding items to a PO. The stock item details linked to that of the specific supplier will be included automatically. If a pack size has been set on the supplier for this stock item, it will be included, so you can choose to enter the number of that pack size that is being receipted.

Whether items have been added to the inventory receipt through the linking of a purchase order, or the IR has been created from scratch, if the items are batch or expiry tracked, you will need to select to Edit the inventory receipt; you can then add the batch or expiry details for the stock items.
Once you are ready to add the inventory to stock, you can select the Add to stock button.

It is important not to add your stock until you are sure that the stock being added to Breww reflects what has been delivered to you in reality.
Once your stock is added, it will mean that this stock can be used in Breww. We highly recommend not selecting the Invoiced by supplier button until prices on the supplier invoice have been checked. Selecting this button will sync the inventory receipt to your accountancy integration (if this option has been selected on the integration); once it has been synced, prices cannot be changed on the inventory receipt (the stock holding price can still be updated in Breww), so it is important to check the price entered on the receipt on Breww matches what has been invoiced by the supplier before selecting this.
